The organising entity for Augustinian Youth Encounter 2027 (AYE2027) is composed by the Commission of the Augustinian Lay Movement-General Curia in Rome - the highest body responsible for the international coordination, promotion, setting up and supervision of the event - and the General Coordination Team led by the Australasia Province of Mother of Good Counsel and the Delegation of Korea along with the Augustinians in Asia Pacific (Order of Saint Augustine in the Asia Pacific-OSAAP and Asia Pacific Augustinian Conference-APAC).

The organising entity will process the data collected through the website www.ayeosa.com and any other means of contact, including offline application forms or e-mail, in its capacity as the Data Controller. The processing of personal data through the website will be done under the following terms:

Purpose and Legal Ground for the Processing of Personal Data

  • To send communications related to the AYE2027 activity;

  • To collect data for registration purposes. This information may be collected online, through the website, or offline, through alternative means such as e-mail.

  • To manage the registration process, namely accommodation reservation, meal reservation, transport reservation, among others.

You can withdraw your consent at any time. If you do, anything we have already done with your personal information up to that point will still be lawful. Once you withdraw consent, we will stop sending you communications and will no longer make reservations on your behalf.

To answer your requests or inquiries, we process your personal data on the legal grounds that it is in our legitimate interest to clarify your doubts and provide you with any additional information, as requested.

We only collect personal data that is necessary for the organisation and safe running of AYE2027.

Transmission of Personal Data

When the processing of personal data is carried out through external service providers acting as processors, we follow strict criteria when selecting those service providers. We commit to sign a Data Processing Agreement with them in order to comply with data protection obligations.

AYE2027 includes participants who are minors. The personal data of minors will only be processed with the consent of a parent or legal guardian.
We apply additional safeguards when processing the personal data of minors, including limiting access to authorised personnel only and using the data strictly for organisational, safeguarding, and safety purposes.

Health and Emergency Information

Where necessary, we may process limited health or medical information (such as allergies or medical conditions) provided voluntarily by participants or their legal guardians.
This information will be used exclusively to ensure the safety and wellbeing of participants and will only be accessible to authorised personnel. It will not be used for any other purpose and will be deleted once it is no longer necessary.
